A bespoke process management system for controlled workflows.

The brief

White Label Resources needed a single system for running complex, repeatable processes across different teams, departments and service lines. Each area of the business needed its own users, roles and permissions, while every defined process still had to remain consistent once work was underway.

The challenge was balancing flexibility with control. Senior users needed the freedom to create workflows, actions and data capture requirements for finance, law and accounting processes, but staff and external contacts needed a clear route through each service without working around the rules.

Role-based services and task ownership

 

Workflow actions were translated into live service tasks with managers, reporters and assignees, giving each team a clear operating model while preserving role-based access and responsibility.

Custom workflow and form building

 

We created a configurable builder so authorised users can define process actions, add custom data capture, and shape forms around the exact information each workflow needs.

Rich document generation from process data

 

We built a document editor that pulls completed form data back into styled PDF outputs, including reusable placeholders, rich content, images, cover options and service-specific presentation.

The outcome

The finished system gives White Label Resources a controlled way to run repeatable work while still allowing authorised users to build new processes when the business needs change. Role-based access, task dashboards, customer-facing actions and document generation all sit inside one connected workflow.

It supports live finance, law and accounting use cases without locking the organisation into one narrow process. Teams can see what needs attention, delegate work to the right people, collect information from contacts and generate consistent documents from the data already captured.

Contacts can complete their part clearly

 

External contacts can log in to a focused portal, see the services they are involved in, complete required tasks and provide information without gaining access to the wider internal system.

Teams can manage workload by status

 

The dashboard and Kanban views make active work easier to scan, prioritise and move through its lifecycle, so staff can manage tasks without losing the structure of the underlying process.

Client context stays connected

 

Client and contact records remain linked to services, tasks and documents, giving teams a practical CRM layer around the process instead of scattering context across separate tools.

Working with Weird Wolf on this software system has been a brilliant experience.
