From paper job sheets to Xero in six weeks.

The brief

Dent Perfection Ltd was managing its repair work on paper. Job sheets, estimates and invoices formed a manual process that took time to administer alongside the repairs themselves. The business wanted to go paperless, reduce repetitive admin and make it easier to keep track of jobs from start to finish.

The brief was to bring the operation into one system: customers, vehicles, staff and job records, with a direct connection to Xero and a clearer picture of the business through reporting. Tablets were essential to the brief because the team uses them in the repair centre and on site. Job records had to be easy to access and update in both settings. The turnaround was six weeks.

One list for every repair job

 

We built a searchable jobs list showing each customer, date, status and assigned team member. Staff can find the right repair quickly and open its shared record, rather than working from separate paper sheets.

A dashboard for what needs doing

 

Personal dashboards show assigned jobs, unfinished repairs, completed work and invoices needing attention. The team can see what needs doing next at a glance, while managers have a clearer overview of work moving through the system.

Track every repair as it progresses

 

The digital job sheet keeps each vehicle’s repair lines, prices and status together. Technicians can mark individual repairs complete while others remain to do, giving the team a live view of progress and the office an itemised record for billing.

The outcome

In six weeks, we delivered a paperless system covering the journey from recording a dent repair to invoicing it and reviewing the figures. Dent Perfection now has its day-to-day work, customer history and billing records connected in one application.

The move saved the team hours of administration. Information captured during a repair becomes the basis of the invoice, and the same job records feed management reporting. Less time goes into copying details and assembling figures, leaving more time for the work and the customers behind them.

The completed job record shows the customer signature, completion details, invoice PDF and Xero export confirmation in one place. Office staff can check the finished repair against its billing record without tracing separate paperwork or systems.

A clearer view of the business

 

Managers can filter completed work by date and see job counts, revenue and VAT in one report. The figures come from recorded jobs, making performance easier to review and export without assembling the numbers by hand.

A clear invoice for completed work

 

Customer sign-off completes the repair and produces an itemised PDF invoice. Vehicle details, repair lines, VAT and totals stay together in a branded document, giving the customer a clear account of the work and the office a reliable billing record.
